Platform Terms

These terms cover the CEtHI platform, operated by CEtHI, LLC, which collects your medical records on your behalf and organises them into a single view of your care. They are separate from the terms covering the cethi.org website.
At a glance
What CEtHI does
CEtHI gathers your medical records from the health systems that have treated you, assembles them into one continuous timeline, and lets you review, correct, and add to that record. The record is yours. It is organised for you first, and shared only where you direct it.
Your account
You must be 18 or older to create an account. You are responsible for keeping your account credentials secure and for activity under your account. If you are acting as a caregiver for someone else, you must have that person's authorisation, or legal authority to act on their behalf.
Connecting your medical records
When you connect a health system, you authorise CEtHI to retrieve your medical records from that health system on your behalf. You sign in using your own patient portal credentials, on your health system's own sign-in page. CEtHI never sees or stores your portal username or password.
What we retrieve
Your health system releases a standard set of clinical information, which typically includes conditions and diagnoses, medications, allergies, immunisations, laboratory results, imaging reports, clinical notes, procedures, visits, care plans, care team, and insurance coverage. What is actually released is decided by your health system and may differ between institutions. We retrieve what is released to you; we cannot retrieve what your health system withholds.
We only read
CEtHI reads your records. We never write to, alter, or add anything to your medical record at your health system. Any correction or addition you make in CEtHI exists in CEtHI only, and is clearly marked as coming from you rather than from your chart.
How long the connection lasts
Once you authorise a health system, CEtHI can retrieve new records as they appear, without asking you to sign in again. This continues until the access period set by you and your health system ends, or until you revoke it.
You can revoke access at any time through your patient portal's account or security settings, or by writing to us. Revoking stops any further retrieval. It does not by itself delete the records we already hold — for that, ask us to delete them.
What we do with your records
We use your records to build and maintain your own timeline, to show you your care as a whole, and to provide the features you choose to use. We use them to operate and improve the platform's ability to organise records accurately.
How your information is and is not shared
We do not share your health information with employers, insurers, data brokers, or advertisers, and we do not use it to target advertising to you.
We do not share your identifiable health information with anyone outside CEtHI unless you direct us to, or unless you have given specific consent for a purpose we describe to you at the time.
CEtHI works with research and industry partners, and may invite you to contribute your data to specific programmes. Each such invitation will say who the partner is, what data is involved, and what you get in return. Participation is always your decision, always specific, and always revocable. Declining has no effect on your use of the platform.
Research
Connecting your records is not consent to research. If CEtHI invites you to take part in a study, that invitation will name the study and ask for separate, specific consent, which you are free to decline. Declining has no effect on your use of the platform or on the records you hold here.
Where you do consent to a study, the terms of that study will state what data is used and how.
Storage and security
Your records are stored encrypted. Access is restricted to you and to CEtHI personnel working on your behalf. We use reputable infrastructure providers and limit access to what is necessary to operate the service. No system is perfectly secure, and we cannot guarantee absolute security.
Your rights
To delete your records, write to paola@cethi.org. We will delete them and confirm when it is done.
If CEtHI is acquired or ceases operating
If CEtHI, LLC is acquired, merged, or wound down, your records may transfer as part of the business. Any successor is bound by these terms and by the consents you have given, until you are notified of any change and given the opportunity to accept it, export your records, or delete them.
CEtHI is not a healthcare provider
CEtHI is not a healthcare provider, does not practise medicine, and does not give medical advice. Nothing on the platform is a substitute for care from your own clinicians. Never delay seeking care because of something you read here. In an emergency, call your local emergency number.
We organise and present information from your records. We do not verify its clinical accuracy, and records can contain errors — which is part of why you are able to correct them here.
About HIPAA
HIPAA governs how your health systems and their contractors handle your records. When you direct your records to CEtHI, they leave that framework, and CEtHI is not acting as a HIPAA covered entity. Our obligations to you are the ones stated in these terms, and we intend them to be at least as protective.
Ending your use of the platform
You may close your account at any time. We may suspend or close an account that violates these terms, and we will tell you why. If we discontinue the platform, we will give you reasonable notice and an opportunity to export your records first.
Disclaimers and liability
The platform is provided "as is," without warranties. We do not guarantee uninterrupted or error-free service, nor that every record held by every institution will be retrievable. To the maximum extent permitted by law, CEtHI, LLC is not liable for indirect, incidental, or consequential damages.
Changes to these terms
We may update these terms. We will post the updated version here with a new date, and we will notify account holders of material changes affecting how your records are handled. Continued use after a change takes effect constitutes acceptance.
Governing law
These terms are governed by the laws of Ohio, and disputes will be resolved in the courts of Ohio.
